RECOGNITION PROCEDURE

MOBILITY FOR LEARNING:

Learning Agreement, Course Transfer Form and Alteration

1- Learning Agreement and Course Transfer Table approved by the Executive Board of the Faculty / Institute, ensure the compatibility of the principle of full and fair recognition of Erasmus Charter for Higher Education. 

2- The requirement of 30 ECTS course load for each semester is stipulated in the Learning Agreement. Postgraduate thesis studies are accepted as 30 ECTS for a semester. 

3- Students who gain the right to participate in the mobility, prepare Learning Agreement and Course Transfer Table Form with their Erasmus+ Departmental Coordinators. 

a. All courses should be taken in exchange of credits during Erasmus+ term. The equivalance of these courses in İstanbul Kent University, is stated in the Course Transfer Table Form. 

b. Courses can be chosen among Obligatory, Departmental Elective, Complementary Elective and Unrestricted Elective courses, if they are compatible in terms of content and category. 

c. Upon the proposal of departments, the Executive Board of the Faculty / Institute decide whether participation to the program in the last semester before graduation, and completion of Graduation Project/ Diploma Design Project is appropriate or not.  

d. If the course to be taken at the receiving institution and the ECTS of the corresponding course at Istanbul Kent University are not equivalent, the course equivalency is decided by the Executive Board of the Faculty / Institute. Considering the suitability of ECTS credits and course hours for a semester, a course can be transferred to more than one course or more than one course can be transfered for a course. 

e. There may be a maximum difference of 3 ECTS credits between the total ECTS values taken at the receiving institution and the total ECTS values transferred to Istanbul Kent University. 

f. The Course Transfer Table and Learning Agreement are approved by the decision of the Executive Board of the related Faculty / Institute before the mobility and no alterations can be made in the said table except for the mandatory situations.  

4- When necessary, alterations can be made in Learning Agreement. 

a. The alteration must be made within a month after the arrival of the student in the receiving institution. 

b. Learning Agreement and Course Transfer Table can be altered with an Executive Board decision of Faculty / Institute. 

c. Student conveys his/ her demand of alteration to Departmental Coordinator via e-mail. Under the guidance of Departmental Coordinator and within the knowledge of the Department, a new Course Transfer Table Form is prepared for the courses that are dropped / added. The Head of Department presents the new Learning Agreement and Course Transfer Table to the Dean's Office for the approval of the Executive Board of the Faculty / Institute. 

d. The new Learning Agreement prepared at the end of the course add / drop period, also includes courses equivalent to 30 ECTS per semester. 

5- The Erasmus + Institution Coordinator controls the Learning Agreement for compliance with the Erasmus+ Program rules. 

Course Transfer and Grade Conversion

6- All courses taken during the Erasmus+ semester, are recorded in Istanbul Kent University transcript with their original name, code and equivalent grade calculated as described in Article 1. In the transcript, the name of the institution where the student is registered as an Erasmus+ student and takes the courses in the relevant semester is clearly stated. 

7- Course transfer and grade conversion are carried out by the related Faculty pursuant to the tables approved by the decision of the Senate. The Course Transfer table, which shows grade conversions and is approved by the Executive Board of the Faculty / Institute, is forwarded to the Directorate of Student Affairs for recording the grades. 

a. In cases where a course corresponds to more than one course, the grade taken at the receiving institution is recorded for all corresponding courses.

b. If more than one course corresponds to one course, and all the courses are completed successfully, the weighted average of the grades of these courses is recorded for the corresponding course. In case of failing one of the courses taken in exchange for a single course, when the total ECTS of the courses completed is equal to all or more than half of the total ECTS of the course, the requirements of the course are considered completed and F grades are added to the weighted average. For example, if the student takes courses in the following combinations: 4+3, 4+2, 3+3, 2+2+2, then he/ she must be successful in ECTS sections in order of 4, 4, 3, 2+ 2.  If the courses which are successfully completed do not meet this condition, then all parts of more than one course corresponding to one course are processed as OOC (out of curriculum). 

c. Since some institutions do not show the failed courses in the transcript, the courses that are included in the Learning Agreement and Course Transfer Table but are not included in the transcript, are recorded with an F grade. 

8- It is essential that the transfer of grades is completed by the end of the late registration period following the semester in which the student participates in mobility. 

a. The Erasmus Office starts the process by submitting the transcript of the grades obtained by mail and the Course Transfer Table approved by the Executive Board of the Faculty / Institute to the relevant Faculty upon the student's return. Transcripts of records obtained by e-mail are accepted temporarily in order to avoid delays. 

b. “Incomplete” (I) grade is given to all the courses if the student does not have the grades of the courses taken during the mobility period, during the Late Registration week of the following semester. The grades obtained after the Late Registration week are recorded in place of the "Incomplete" (I) grade, which is converted to the F by the decision of the Executive Board of the Faculty to which the student is registered.

c. In case of a delay in grade transfer of courses taken during the mobility period, the student's registration for the following semester is realized by taking new courses that do not have a prerequisite or the students had completed the prerequisite prior to participation in mobility depending on the GPA of the student.

d. If the grade of a prerequisite course is not obtained from the receiving institution, the student may continue to the prerequisite course until the grade is received. According to the transcript, the registration of the student who has succeeded in the prerequisite course is made by the decision of the Executive Board of the Faculty / Institute. Students who have failed the prerequisite course can not continue to the course.

MOBILITY FOR TRAINING:

1- The Mobility for Training is recorded in the transcript of the student; if the student has a mandatory internship for graduation and the approved internship report is found suitable by the Executive Board of the Faculty / Institute / Vocational School / Vocational School of Health Services, training mobility is accepted for the mandatory internship and is shown in the Diploma Supplement. 

2- How to evaluate mobility for training for the student is determined before mobility. After the mobility internship report, which is prepared by the student after the internship and approved by the host institution, is forwarded to the relevant Faculty / Institute / Vocational School / Vocational School of Health Services by the Erasmus Office; the process is concluded with the evaluation of the Executive Board of the relevant Faculty / Institute / Vocational School / Vocational School of Health Services.
